You’re Growing Fast – But Your Current Tools Can’t Keep Up
You’re a small-to-medium food production company scaling quickly, yet spreadsheets, QuickBooks, or disconnected systems are holding you back.
Recipes and production tracked in spreadsheets → no visibility into planned vs. actual
Variable weights causing pricing and invoicing headaches → inaccurate catch-weight billing
Traceability and compliance audits taking days → complicated lot tracing leading to failed SQF/BRC
Outgrowing basic tools → siloed distribution + production tools with limited-to-no cloud access
SimplyFood delivers a transformational foundation for scale — simpler, faster, and purpose-built for food.

SimplyFood | Core Features
Powerful solutions tailored for the unique complexities of modern food production.
Production Tracking
Designed for flexibility, enabling each client or user to follow a production workflow that aligns with their organizational processes and operational requirements.
Flexible workflows, lot selection, and detailed variance reporting for waste reduction.
- Production Picking Documents – Generate picking lists for a single or multiple production orders to streamline ingredient gathering.
- Production Area Reference – Record where production occurs for scheduling accuracy and post-production traceability.
- Planned vs Actual – Capture planned and actual quantities for both ingredients and finished goods. Ingredient usage correctly adjusts stock and cost absorption, while finished good reporting improves yield tracking and capacity planning.
- Advanced Lot Selection – Select lots from multiple warehouses, supporting co-packer environments. Lots may be allocated manually or automatically using FEFO (First Expired, First Out) or FIFO (First In, First Out). Multiple lots can be recorded per ingredient.
- Waste % – Automatically calculates ingredient waste based on recipe configuration, especially useful where precise quantity recording is difficult.
- Auto-Generate Finished Good Lot & Expiration Dates – Lot numbers may be manually defined or system-generated, with expiration dates calculated automatically based on recipe settings.
- Cost Variance Reports – Analyze planned versus actual production costs before or after posting inventory, including variance breakdowns.
RecipeRecipe Management
Precision formulations, batch size scaling, and ingredient nutritional tracking.
Recipes define the list of ingredients and their required quantities to produce a finished good. Each recipe can support multiple revisions to accommodate different batch sizes or formulation variations.
Each recipe component—whether a stocked ingredient or a non-stock cost such as labor, overhead, or miscellaneous supplies—supports the following options:
- Sequence – Overrides the default alphanumeric ordering to maintain a specific component sequence.
- Component Quantity – Defines the quantity required per unit of finished goods; this amount scales automatically when Production Orders are created.
- Fixed Per Production Order – When enabled, the component quantity remains constant regardless of the production quantity, but can be manually adjusted if needed.
- Allow Component Substitution – Permits users to remove or replace a component during production when required.
- Production Note – A component-level note for operational use, printed on the Production Pick Ticket.
- Waste % – Accounts for expected yield loss without changing the recipe quantity.
- Min and Max Component Qty – Defines allowable entry limits during production to help prevent data entry errors.
Traceability
A comprehensive Lot Track and Trace report is included to support SQF, BRC, and other regulatory or audit requirements in the event of a recall. The report traces ingredient components, sub-batches produced during manufacturing, and finished goods.
SimplyFood Track & Trace reporting delivers:
- Ingredient Receipts – Quantities and lot details for all received components.
- Ingredient Usage – Full visibility into production consumption and any adjustments.
- Sub-Batch Tracking – Traceability for intermediate batches transformed into multiple finished goods.
- Customer Shipments – Detailed shipment history with customer contact information for recall notifications.
- Reconciliation Summaries – Ingredient, sub-batch, and finished good accountability to ensure nothing is untraced.
- Backward Traceability – Drill down into all ingredients used, including originating purchase orders, receipt details, and vendor information.
Material Demand
Intelligent planning tools ensure you never run out of critical ingredients.
SimplyFood Material Demand calculates the required quantities of components, subassemblies, and finished goods to determine what needs to be produced or purchased. Side panels provide seamless access to the underlying data, including Sales Orders, Production Orders, and Purchase Orders, as well as convenient access to recipe details and Where Used information.
Catch-Weight
Manage Products Sold by Dual Unit-Of-Measure
SimplyFood supports two units of measure: an inventory unit (e.g., case, box, each) and a catch weight unit that records the actual product weight for accurate pricing and invoicing.
- Stock Setup: Define base inventory unit, catch weight unit, and average weight for pricing. Supports lot or serial control for precise tracking.
- Purchase & Receiving: Capture lot/serial numbers, quantity, weight, and expiration (optional). Compatible with manual entry or automated GS1 barcode scanning via WMS.
- Inventory Management: View current stock weights, adjust quantities and weights easily through inventory adjustments or catch weight maintenance.
- Sales & Pricing: Apply weight-based pricing automatically on sales orders with flexible pricing options, allowing manual overrides if needed.
- Shipment & Invoicing: Track both units and actual weight through shipment and invoice, ensuring precise billing based on actual catch weight.
- Production: Record catch weights during production manually or automatically with scale integration (customizable).
